Property Market Guide privacy notice

1. Information used by this tool

• Postcode: sent to our hosting service, which queries HM Land Registry for recorded sales. The postcode is sent in a request body rather than the page URL. The response contains public sale addresses, dates, property types, tenure and recorded prices.
• Full address and property details: the address, town, bedrooms, floor area, condition and filter choices you enter remain in the running page. The guide does not send those details to Manorwest or Land Registry, create a stored customer record, or save them in cookies or browser local storage.
• PDF: generated locally in your browser using your inputs and retrieved records. The tool does not upload or retain a copy. Saving, sharing, printing or cloud-synchronising the file is controlled by your browser, device and chosen service. Closing or refreshing the page clears the tool's working data; downloaded files remain until you delete them.
• Technical metadata: website hosting and delivery services may process IP addresses, request times, paths, device/browser information and security events when delivering and protecting the site. This is distinct from the report generator and is not an anonymous guarantee.

The tool does not request your name, email, payment details or resident/owner identity. A postcode, address or request metadata can nevertheless be personal data when linked to an identifiable individual. Please do not enter sensitive personal information or confidential project material.

2. Purposes and lawful basis

Where personal data is involved, we rely on legitimate interests in providing a user-requested residential sales-information tool, delivering the site, resolving faults and protecting it against abuse. We minimise transmitted information by keeping the full property questionnaire and PDF in the browser and forwarding only the postcode for the data query. We do not use the guide to make decisions about anyone's housing, lending or insurance eligibility.

An enquiry you choose to email is used to respond and consider your request. Where you ask us to take steps towards a contract, that processing may be necessary for pre-contract steps; otherwise our interest is responding to business enquiries. Any engagement, invoicing or file-upload service needs its own relevant information and agreed scope. No consent to advertising follows from use of this tool.

3. Recipients and hosting

The site is delivered through OpenAI's Sites platform and Cloudflare infrastructure. Those services and their authorised service providers handle the requests needed for hosting, delivery and security. HM Land Registry receives the postcode query from the hosting service, not the full questionnaire. It operates its own data service; see HM Land Registry's personal information charter.

If you choose to email us, your email provider and our business email hosting provider, Doteasy and its authorised infrastructure providers, handle the message. The property guide does not load an analytics tag independently. At the date of this notice, Google Analytics is not active on the website. If site-wide analytics is enabled later, it will remain blocked on this tool unless a visitor actively accepts analytics using the cookie controls. The site stores the separate mw_site_consent preference cookie for up to 180 days; this tool does not store postcode or property inputs in cookies or browser local storage. Hosting providers can use infrastructure and support outside the UK. The applicable processor arrangements, locations, retention schedules and any UK transfer safeguards require checking against the services used; this notice does not assert UK-only storage or that a specific transfer mechanism has been verified. Contact us for the current available provider details before sending information you regard as sensitive.

4. Retention

The tool has no application database of property-guide inputs, searches or generated reports. Full questionnaire details and PDF generation data exist only in the current page until refreshed or closed. Retrieved public data remains available at its original source independently of this tool. Downloads are retained by you, not by the guide.

For hosting and security metadata, retention depends on the hosting provider's applicable schedule, fault resolution, investigation of security events and legal obligations. The report generator cannot set or confirm those platform periods. We do not claim that logs are deleted immediately. For enquiries, information should be retained only while needed to handle the request and any resulting engagement, complaint or legal obligation; ask us about your particular record. Legal retention may prevent immediate deletion in some cases.

5. Your rights and concerns

Depending on the circumstances, you may have rights to access, correct, erase, restrict or obtain a portable copy of personal data, and to object to processing. These rights have legal conditions and are not absolute. You may object to processing based on legitimate interests, including our site-delivery and security purposes, by contacting info@manorwest.co.uk. We will consider your request and explain any lawful reason for continuing. We may need proportionate information to verify your identity; do not send identity documents unless requested through an appropriate channel.

We normally respond to rights requests within one month, subject to lawful extensions and applicable rules. We cannot erase public Land Registry records or files saved on your own device through this tool. If a sale record is wrong, contact us about its display and use Land Registry's correction route for the underlying record.

You can complain to us or to the Information Commissioner's Office. You do not have to complain to us before contacting the ICO.

6. Optional external services and updates

Links to email, booking or source websites open services with their own privacy arrangements. Review those before entering information. This notice will be updated as the tool or verified processing arrangements change. Any future account, paid report, analytics or marketing feature needs a further privacy and compliance review before activation.
